Manage the whitelist
Allocate seats by uploading a cohort or typing one address, read the Allocated and Signed Up statuses, and remove an entry while you still can.
The whitelist is the list of email addresses entitled to a seat on a batch. Adding an address allocates a seat, and the student claims it when they sign up with that address. Entries land on the batch named in the top-bar pill, so check that first, and open Batch Details above the table to see how many seats are free.
Add addresses
Press Add to Whitelist. The dialog offers two routes with or between them.
For a cohort, use Bulk add whitelist: press Download sample for the .xlsx template, put your addresses into it, save it as .csv or .xlsx, choose the file and press Upload file. The button reads Checking…, then Uploading…, then tells you how many members went in. "No valid emails found in the file." or "Could not read the file. Please check the format." means your column does not match the sample.
For one student, type the address into "Enter member email" under Individually add to whitelist and press Save Member.
There is no add-by-domain option. Every address arrives through a file or one at a time.
If an address already exists in a related organisation, a Duplicated user(s) found dialog appears. Whitelist anyway adds them to this batch as well; Skip user(s) takes the rest of your list and leaves them out. Skip and check with your account manager if you are unsure, since a duplicate may already hold a seat elsewhere.
Read the table
The columns are Email, Allocated on, Signed up on, Status, Tier, Batch and a ⋯ menu. Allocated means the seat is reserved and nobody has signed up with it; Signed Up means a student created an account with that address and is using the seat.
Find one address with "Search by email". A Clear filters chip appears while a search is on, and no matches read "No entries found."
A row still on Allocated weeks after term starts means the student never signed up, or signed up with a different address.
Removal works only before sign-up
- Open the ⋯ menu at the end of the row.
- Choose Remove whitelist.
- Confirm at Delete Whitelist Entry, which warns "Are you sure you want to delete this whitelist entry? This action cannot be undone." Press Delete, or Cancel to keep it.
Remove whitelist greys out the moment a row turns Signed Up. Once a student has claimed a seat, nothing in the portal takes it back. Clear the addresses of students who have withdrawn or deferred before they create an account.
Tips
- Upload the whole cohort in one file at the start of the year, then add stragglers one at a time.
- Check the seat count in Batch Details before a large upload.
- Students who have claimed a seat appear on the roster; see View students and grant Premium.
